Wedding Photography Services
Terms of provision of service
By paying a non-refundable deposit for photography services, the Couple agree to the following terms and conditions:
1. Photography Service requirements
1.1 Wedding Service Packages
The details and prices of Wedding Service Packages are detailed in writing on the website and on Wedding Service handouts. The details and the prices of the packages relate to the date of booking the service, not the date of the Wedding.
There will be no change in details or price of the Wedding Service once the booking deposit has been paid, unless agreed by Alec Hepburn Photography and the Couple, as set out in paragraph 1.3 (Additional Requirements) below.
Alec Hepburn Photography reserves the right to review the pricing of Wedding Photography Services at least twice a year (Spring and Autumn).
1.2 Bespoke service
All details of the requirements for a Bespoke Service will be agreed in writing between Alec Hepburn Photography and the Couple no later than one month prior to the date of the Wedding.
1.3 Additional requirements
Any additional requirements, either to packages or to the Bespoke Service (details and price) must be agreed in writing between Alec Hepburn Photography and the Couple no later than one month prior to the date of the Wedding.
Additional prints of images are not included in the package prices, although discounts for orders made within an agreed time frame may be offered and agreed in writing between Alec Hepburn Photography and the Couple no later than one month prior to the date of the Wedding.
Additional post production work (e.g. special requests for digital manipulation, effects or amendments to images through Photoshop or other software) may be subject to additional charge, as agreed between Alec Hepburn Photography and the Client.
1.4 Delivery of Images
Please allow up to six weeks from the date of the Wedding for the Couple to view the wedding images.
Once the Couple have agreed in writing the content of the password protected website, please allow 7 days for the password protected website to go live.
The Couple are responsible for ensuring friends and family have access to their unique password.
Once the Couple have chosen the images for production, please allow up to six weeks for the design of any album or other print collection included in the service. The couple may request up to two sets amendments to designs following the viewing of any proofs to albums, etc. to be included in the service. Please allow two weeks for a set of amendments and revised design proofs.
Any additional amendments must be agreed with the Client and Alec Hepburn Photography, and may be subject to an additional charge.
Please allow up to four weeks for delivery of any products or printed images.
Alec Hepburn Photography will advise the Couple as soon as practicable of any delays to delivery of the images. Please note, timescales may lengthen during peak seasons.
1.5 Production of Images
All images are produced to the highest professional quality using award-winning professional suppliers of prints, albums and frames.
If you have any concerns in relation to the production of your images, please notify Alec Hepburn Photography within 7 days of receipt of your images to ensure swift attention to any issues.
Alec Hepburn Photography is not responsible for third party production of images, but will endeavour to rectify any concerns as soon as practicable at no extra cost to the Couple.
2. Payment
2.1 Deposit
All bookings require a non-refundable deposit of £150 to secure the booking, regardless of photography service required.
2.2 Balance
The full balance of the price of the agreed Wedding Service is payable no less than one month prior to the date of the Wedding. Payment by credit or debit card, cheque, cash or PayPal is accepted. Payment by regular instalments can be arranged.
2.3 Refunds for Cancellation
Refunds of all monies paid (minus the non-refundable deposit of £150) will be made for cancellation by the Couple up to one month prior to the date of the Wedding.
Refunds of 50% of all monies paid (minus the non-refundable deposit of £150) will be made for cancellation by the Couple up to two weeks prior to the date of the Wedding.
There will be no refunds for cancellations by the Couple from two weeks prior to the date of the Wedding, and it is advised that Couples should have their own Wedding Insurance to cover such eventualities.
3. Artistic Licence and Copyright
3.1 Artistic Licence
Alec Hepburn Photography will make every effort to capture the requested images in the requested style as detailed through the discussions with the Couple. However, any notes or wishes made by the Couple do not constitute contract terms, and Alec Hepburn Photography retains the artistic licence to capture appropriate and available images during the provision of the Wedding Service.
This will extend, but is not limited to named individuals being available or willing to participate in certain photographs for the duration of the Wedding Service, inclement weather contingencies, particular images or styles, availability of locations at any venues or other wedding service providers (e.g. catering, cars, etc).
Alec Hepburn Photography always abide by the requests and or terms of the Wedding Venue and those conducting the Marriage ceremony (e.g vicar, priest, registrar), which in some circumstances may override the wishes of the Couple. It is therefore advisable for the Couple to discuss any wishes with the ceremony and reception venues and Alec Hepburn Photography prior to the Wedding Service to avoid disappointment.
Alec Hepburn Photography retains the artistic licence to edit and present the final selection of images captured during the Wedding Service. This also pertains to the final number of images (from numbers of images of certain elements of the Wedding Service to total number of images) presented to the Couple.
This also extends to requests for digital manipulation, styles and effects applied post production to any image. Requests for additional post production work may incur additional charges, available on request.
3.2 Copyright
Alec Hepburn Photography retains the copyright of all images pursuant to The 1988 Copyright Design & Patents Act. It is contrary to the Act to copy or allow to be copied any images captured by Alec Hepburn Photography by any means.
Alec Hepburn Photography reserves the right to use images on promotional or other materials.
4. Insurances and Liability
4.1 Our insurance
Alec Hepburn Photography holds full professional indemnity insurance and public liability insurance. Any liabilities extend only to the amount of the Wedding Service supplied, and any consequential losses will not be recoverable.
If due to sickness, injury or any other unforeseen circumstances Alec Hepburn Photography is unavailable to provide the Wedding Service, all monies shall be refunded in full.
Every effort will be employed to provide a suitable alternative wedding photographer, under their own terms and conditions.
4.2 Your insurance
It is advised that all Couples arrange their own Wedding Insurance.
4.3 Code of Conduct
Alec Hepburn Photography is a member of the British Institute of Portrait Photographers and the Society of Wedding and Portrait Photographers, and abides by their Code of Conduct. If you have any concerns about how your Wedding Service is being provided, please contact Alec Hepburn Photography directly, or refer to the SWPP for further information.
